Summary:
The Office Administrator is the central cog in the office, the jack-of-all-trades holding down the fort while the accountants are meeting with clients, the collective memory, the face & voice of the practice, etc. Teamwork is vital to thrive in this role and a collaborative spirit is essential to success.

Responsibilities:

  • Welcome clients and visitors with a positive and helpful attitude
  • Assist with a variety of administrative tasks including copying, scanning, taking notes, and scheduling
  • Prepare meeting/conference rooms
  • Answer phones in a professional manner and route calls as necessary
  • Order supplies when running low, including running to post office or bank in case of emergency
  • Schedule client appointments and managing staff calendars
  • Manage the general office email
  • Sort and open mail
  • Keep the office clean and organized
  • Bill Pay, Invoicing and Collections
  • Maintain document filing room
  • Perform ad-hoc administrative duties
