Summary:
The Office Administrator is the central cog in the office, the jack-of-all-trades holding down the fort while the accountants are meeting with clients, the collective memory, the face & voice of the practice, etc. Teamwork is vital to thrive in this role and a collaborative spirit is essential to success.
Responsibilities:
- Welcome clients and visitors with a positive and helpful attitude
- Assist with a variety of administrative tasks including copying, scanning, taking notes, and scheduling
- Prepare meeting/conference rooms
- Answer phones in a professional manner and route calls as necessary
- Order supplies when running low, including running to post office or bank in case of emergency
- Schedule client appointments and managing staff calendars
- Manage the general office email
- Sort and open mail
- Keep the office clean and organized
- Bill Pay, Invoicing and Collections
- Maintain document filing room
- Perform ad-hoc administrative duties

- Quickly adapt to changing client and business dynamics
- Tech-savvy and self-sufficient using of various business applications (ie. MS Word, Outlook, MS Excel, pdf, printing, and scanning.)
